This page covers the Employr app for Android and iOS (co.uk.employr.app) and the web app at app.employr.co.uk. All three are provided by Employr LTD (company no. 17187868, registered office 61 Bridge Street, Kington, HR5 3DJ, United Kingdom).
If you're an employee
- Sign in to the Employr app or to app.employr.co.uk.
- Go to Settings → Your Account → Delete account.
- Enter your password and type DELETE to confirm. If you sign in with Google or Apple, leave the password blank.
- We'll email you a 6-digit code. Enter it to finish.
What happens:
- Your sign-in is disabled straight away, and you're signed out on every device.
- Your employee profile is removed from your employer's workspace, along with your profile photo and contract file.
- Your time entries, holidays and holiday requests, absences, pay breakdowns, rota and team assignments, equipment assignments, and your signatures and acknowledgements are deleted with your profile.
- Records your employer needs to keep stay in their workspace, including accident and incident reports, signed project documents and forms, uniform requests (with your name removed from them) and the workspace's audit log.
You can also download a copy of your data first in Settings → Your Data → Export personal data. If you want to keep your account but remove your personal details, use Settings → Your Data → Delete personal data. That removes your phone number, government identifier, emergency contact, notes, profile photo and contract file, and keeps your sign-in and your work records.
If you're a company admin
Deleting the company workspace deletes all of the company's data, including every employee account in it.
- Sign in as the company account at app.employr.co.uk.
- Go to Settings → Your Data → Delete all company data.
- Confirm with your password and the 6-digit code we email you. If you sign in with Google or Apple, leave the password blank.
Deleting company data doesn't cancel a paid subscription. Cancel it first in Settings → Your Account → Manage subscription. Your company sign-in is kept so you can start again. To remove it too, email us as described below.
Ask us to delete it instead
Email Support@employr.co.uk from the address on your account with the subject "Delete my account". We'll confirm it's you before we delete anything, and reply within one month.
If your employer manages your Employr account, they control the workforce records it holds. Some requests may need to go to them, and we'll tell you if so.
What we keep, and for how long
| Data | What happens |
|---|---|
| Your account and profile | Deleted, or permanently anonymised, as soon as you confirm |
| Copies in our encrypted backups | Overwritten as backups rotate, within 30 days |
| Server and firewall logs (including IP addresses) | Deleted after 30 days |
| The workspace audit log (sign-ins and key actions) | Kept while the workspace exists, for security and fraud prevention. Deleting a company workspace removes its audit log. |
| Billing records (company accounts) | Stripe and we keep invoices and payment records for 6 years, because UK tax law requires it |
| Records your employer must keep by law (e.g. accident reports, working-time records) | Your employer may keep these after you leave, as the controller of that data |
Inactive accounts
Free-plan company workspaces and employee accounts with no activity for 6 months get a warning email. If there's still no activity 30 days after the warning, they're deleted.
